The Pregnancy & Infant Loss Support Centre is a registered charity based in Calgary, Alberta, serving the loss community worldwide. 

Our mission is to support and connect individuals of all identities, backgrounds or circumstances, who have experienced the trauma of miscarriage, stillbirth, neonatal loss, Sudden Infant Death Syndrome (SIDS), or infertility. 

We acknowledge that the journey through loss towards healing is as complex as it is individual. As such, we offer many no-cost pathways to healing including a helpline, peer support, mental health sessions, and somatic therapies. 

Support Group Coordinator Job Responsibilities: 

The Support Group Coordinator of the Pregnancy & Infant Loss Support Centre will work with and report directly to the Support Group Specialist. The primary role of the SGC is to assist in the coordination and administration of the Bereavement Support Groups. This role plays an integral part of the Centre’s most popular program and will interact closely with Centre volunteers and staff. 

Support Group Coordinator will: 

  • Work alongside Support Group Specialist in the planning and scheduling of each group
  • Assisting in decision-making around what groups run in hybrid vs remote delivery models
  • Respond to and screen calls/emails regarding groups promptly and handle them appropriately
  • Ensure both group participants and group facilitator volunteers are accurately inputted and recorded in management systems 
  • Update the PILSC group calendar to ensure groups are accurate 
  • Ensure the website it updated with all current group information 
  • Manage PILSC group Zoom accounts and ensure all virtual links are accessible by group participants
  • Coordinate the Centre meeting room to ensure no overlaps of groups 
  • Work 1-2 days from the Centre, primarily in the evening when most groups run 
  • For Hybrid (in-person and virtual) groups, the Support Group Coordinator will be responsible for being at the centre to help with technical support and let group participants and group facilitators in to the Centre
  • Schedule and confirm meetings with the Support Group Specialist 
  • Prepare presentation materials, or statistical reports and distribute as required
  • Reviews group Whatsapp & emails regularly Monday to Thursday, ensuring group clients and group volunteers are supported with any questions and concerns 
  • Communicates effectively with Support Group Specialist and PILSC leadership team 
  • Ensures compliance with PILSC policies, and procedures. 
  • Reviews and maintains reference manuals, and implements new procedures developed with senior leadership 

Support Group Coordinator Skills and Qualifications: 

  • Listens well and seeks clarification when needed 
  • Demonstrates excellence in communication skills, written & verbal

  • Proficient Documentation Skills 
  • Must be proactive, self-disciplined and able to demonstrate a high level of productivity 
  • Highly organized and detail-oriented; able to multitask, work under pressure and meet deadlines
  • Extremely community-focused, always delivering exceptional service 
  • A high degree of interpersonal skills, with the ability to deal successfully with both internal and external clients
  • Ability to deal with matters of a confidential and sensitive nature, exercising good judgment at all times
  • Must exhibit flexibility and adaptability to change 
  • Demonstrates ability to prioritize work and workflow effectively 
  • Creating a Safe, Effective Environment 

Education, Experience and Licensing Requirements 

  • Completion of Business/ Admin courses and 3-5 years of comprehensive general office experience
  • Must present a professional image at all times; exhibiting a friendly and personable approach
  • Exceptional Microsoft computer skills (Word, Excel, PowerPoint, Outlook) 
  • Flexibility in working hours to meet Management and program needs 
  • Must provide a complete and current (within six months) Vulnerable Sector Check (including a Criminal Background Check) or be willing to obtain one 
  • Experience in volunteer or client management 
  • Experience supporting people through grief and loss, 
  • Trained in Trauma Informed practices (preferred not necessary) 

Job Types: Full-Time, Contract, 35 hour a week 

Daytime and Evening availability 

Salary: $22.00 to $25 00 /hour

Shelagh (she/her) brings with her a solid background as an admin in a variety of areas from business, academia and now with a charitable organization with the Pregnancy & Infant Loss Support Center. She feels passionate about working in a role that benefits others in the community.

Shelagh was exposed to bereavement and deep grief at an early age and it left her with a profound sense of how fragile life is and how we need to find joy and light wherever we can. She feels privileged to be able to take this sense with her into her role with PILSC while putting her strong admin skills to good use.
